How to Reduce PDF File Size Without Losing Quality
A 30 MB PDF can often be brought down to 2–3 MB with compression — and the difference is invisible on screen. Understanding what makes PDFs large helps you pick the right compression level the first time.
Why PDFs get so large
File size depends almost entirely on what is embedded inside the PDF:
- ·High-resolution images — a single uncompressed photo at 300 DPI can be 5–15 MB by itself
- ·Scanned pages — each scanned page is stored as a full-resolution image, not compressed text
- ·Embedded fonts — entire font files are included so the document looks correct on any device
- ·Colour profiles and metadata — ICC colour data, document history, and XMP metadata all add bytes
Text itself is tiny — a 50-page text-only document is rarely more than 200 KB. If your PDF is large, it contains images.
The three compression levels explained
- ·Light — reduces image quality from ~100 to ~85 (JPEG scale). File shrinks 20–40%. Images look identical on screen and print well. Use for archival copies, legal documents, and anything that may be printed.
- ·Balanced — compresses images to ~75 quality. File shrinks 40–70%. Slight quality reduction in photos, invisible in most document images. Best default choice for email and sharing.
- ·Maximum — compresses images to ~50 quality, strips metadata. File shrinks 60–90%. Photos will show visible JPEG compression. Use when file size is the only priority.
Text quality is never affected
Text in PDFs is vector data — it is not an image. Compression only re-encodes raster images. Fonts and text remain perfectly sharp at all compression levels.

- ·Legal exhibits where image clarity can be questioned
